Registration:  Please register by Wednesday April 14, 2008.  Early registration facilitates planning and is mandatory.  Registration for all Webelos and their parents should be through the hosting Troop.  This year you may register using the form Below or online at Sunsettrail on Doubleknot.com.  The online registration is a four step process.  Please use it if possible.

What Your Fee Buys:  Each participant will enjoy a weekend of camping, Scouting activities on Friday night, Saturday and Sunday including exciting campfires and a Camporee 2008 patch.  Some activities may not allow full Webelos participation, due to safety and insurance concerns.  This year there will be a midway of non competitive activities.

Accessibility:   Willamette Mission State Park is generally accessible for special needs individuals.  There will be wheelchair accessible kybos.  Please make camporee staff aware of any special needs upon arrival.

Arrival Procedures:   Plan to arrive on Friday between 4 and 8 PM.  You will be met near the entrance to the Camporee by members of the staff.  They will provide you with the map of the Camporee area, with your campsite marked, as well as an up-to-date schedule.  If you have a large amount of troop gear, proceed to the unloading area closest to your campsite.  Unload your vehicle(s) and immediately send all vehicles to the parking area.  Individual gear should be carried from the parking area.

Parking:   Parking will be allowed in designated areas only.  You may drive close to campsites for unloading and loading troop gear only.  It is only a short walk from the parking area to campsites.  This is a modified tailgate campout.  Please pack accordingly.  All roads must remain open at all times to allow access by emergency or fire vehicles.  Cars will be ticketed and/or towed by park personnel if found to be blocking fire access or parked on the grass.  In addition Troop points will be deducted for inappropriate parking.  Every parked car must display a parking pass, please fill these out before arrival at Camporee, or each driver may need to pay for park admission.  Note that the main park gates will be closed at 11:00 PM and cars will not be able to enter or leave after that time.

Medical Forms:   Every Scout attending Camporee must be covered by a completed Class 1 Personal Health and Medical Record Form.  Unit leaders must bring those records to Camporee. Each Webelos Scout attending must also have a completed medical form.  It must be signed by the boy’s parent or guardian and must accompany the boy to Camporee.

Tour Permits:   All troops must fill out a Local Tour Permit.  All drivers, including drivers for Webelos attending camporee with your troop, need to be included on the Local Tour Permit with the troop.

Campsite Locations:   Each unit will have a designated area staked out and marked.  The stake represents the approximate center of that unit.  Please remember neighboring units when setting up your sites.  Be neighborly, use only the space you need.  If there are space conflicts that cannot be amicably resolved, contact Nate Korbe through Camporee HQ.

Check In:   Once your unit is settled, ALL unit leaders are asked to check in with Jim or Val Holmstrom, registrars, at the head of the campfire circle.  Unit leaders should have with them an accurate roster with names of all youth and adults.  That is the time to make sure that Camporee staff is aware of any special needs participants or other matters that need staff attention during the weekend.

Medical Facilities:   Report any acute medical conditions to the medical staff upon arrival.  Those persons with diabetes or allergies to bee stings should bring their own emergency kits.  Anyone with allergies should be prepared with the proper medication.  We will also want to know if there are any doctors in your group.  Minor first aid needs are the responsibility of the troop.  Be prepared. A medical unit will provide first aid on site for more advanced problems.  All accidents must be reported.  Arrangements have been made for emergency evacuations, if needed.

Safety:   Safety of all Scouts, Scouters, Webelos and parents is the first objective of this Camporee.  All Scouters and Junior Leaders are expected to stop unsafe activities by boys.  Violence will result in being asked to leave Camporee.  The following rules are to be strictly observed:

¨              The Buddy System is required.

¨              All campsites will be open.   No ropes or fences, please.

¨             While the games are in progress, no Scouts are allowed in the campsite areas.

¨             No liquid fuel lanterns will be allowed outside the campsite.  Scouts should carry a flashlight rather than a Coleman lantern.

¨             No flames inside tents.

¨             Chopping wood is discouraged.  Make it small back home.  If chopping with an axe must be done, the unit will set up a regulation axe yard and insure that only qualified Scouts enter it.  Likewise, unit leaders are expected to assure that Scouts using knives are using them properly and are creating and observing the circle of safety.  If you don’t understand this paragraph, you and your Scouts should not be using knives and axes.

Public Safety:   Scouts will be assisting with security, parking coordination, campsite inspection and many other activities.  Please respect these youths and follow their directions.

Camporee HQ:   Headquarters will be the large covered shelter near the camping area.   It will be marked by a large sign.  Additional staff support will be located in the campfire circle.

Fires:   No fires are to be laid on the ground nor are fire pits to be dug.  Fires (including charcoal fires for Dutch Oven cooking) may be laid in fire pans.  These are to be raised at least 6" off the turf with rocks, bricks, or other nonflammable material.  Metal tops of 55-gallon drums make adequate fire pans.  Fire pans and rocks, bricks, or other nonflammable material are your responsibility.  No downed wood or trees are to be cut in the park.  Bring your own firewood: there is none available at the park.  Charcoal and fire debris are to be disposed of properly and taken out of the park by the unit at the end of Camporee, do NOT place in dumpster.  Bring a metal container for this purpose.  Do not put ashes and fire debris in paper sacks or cardboard boxes.  Please Note:  All scouts participating in any fire starting activities in the game area must have a Totin’ Chip and Fireman’s Chip card.  Don’t leave home without them.

Cooking:   Liquid fuel and propane stoves may be used in accordance with BSA policy.   Propane is the preferred fuel.  Scoutmasters are to follow BSA liquid fuel storage and stove lighting policies.  Plan to have a “lunch on the trail” for Saturday’s activities, scouts are NOT to return to campsites for lunch.

Water:   Drinking water will be available at several locations near the campsites and games area.  Containers will be needed to carry water to the campsites.  The map received on arrival has water points noted.  Each scout should come to Camporee with a canteen and carry it to the Saturday games.

Gray Water:   Holding tanks will be provided for gray water.  They will be located near the kybos.  Gray water, especially that associated with cooking or dishwashing, should be disposed of in the tanks rather than thrown on the ground or in the bushes.

Travel Light and Leave no Trace:

¨            Each patrol must have at least one compass, including Webelos patrols.

¨            Package food in carry-out containers.

¨            Bring trash bags and use them.

¨            Stay on established trails.

¨            Don't ditch around tents.

¨            Dig no holes.

¨            Plan meals to minimize cooking time, effort, and cleanup.

¨            Respect the rights of others.

¨            The Law of the Camp is the Scout Law, Scout Oath and the Outdoor Code.

Closing Camp and Final Checkout:   A staff member will check your campsite and issue you a final clearance.  You may not leave Camporee prior to receiving that clearance.  The unit's patches and awards will be distributed from the Registration area upon clearance.

Units leaving Saturday evening: Site inspection will be from 4pm to 5:30 pm on Saturday afternoon.  Please stop by HQ to set up a time for your site inspection.

Uniform:   While at Camporee, Scouts and Scouters are expected to wear the official Scout uniform appropriate to their Scouting program.

OA Callout and Brotherhood   Callout of this year’s class of Order of the Arrow candidates will be done on Friday evening.  Units should assure that OA elections are conducted under OA supervision prior to coming to Camporee.  No elections will be conducted at Camporee.  Contact Zach Hittner at 971-322-3343  or zhittner@yahoo.com.  A brotherhood service project will be available Saturday for those ordeal members who are eligible.  More information will be available at the OA village.  Initiated OA members who wish to observe the ceremony will be organized immediately after the callout and led to the ceremony site.
